The organiser's guide

Ticket sales for sports events

Sports events bring together supporters, families and invited guests, often at the same time. Clear advance ticket sales help the entrance team prepare. Use TixBeam for admission tickets and checking them at the door; arrange competition schedules, athlete registration and sports results separately rather than treating a spectator ticket as a sporting entry.

01

Separate admission from participation

Define exactly what the ticket covers. Admission to a tournament does not automatically register someone as a competitor. Say whether it covers one day or the whole event. If you need assigned seating or specific zones, first check that the available ticket settings support the arrangement you intend to offer to spectators.

  • Describe the area, date and audience covered by the ticket.
  • Publish travel information, opening times and relevant house rules.

02

Set quantities and prices before launch

Align sales capacity with the venue limit and the space available around the entrance. Use straightforward ticket types, such as adult or youth admission when appropriate for your policy. Explain discount conditions clearly: a ticket name alone does not verify a person's age or membership when they arrive at the gate.

  • Include helpers and invited guests in your capacity planning.
  • Explain what evidence visitors need for a discounted ticket.

03

Use your club's existing channels

Share the ticket link through the club website, newsletter and social channels. Online payment reduces separate payment steps at arrival. Budget for both platform fees and payment-provider charges. Only enable payment at a venue if you have the staff and a clear process for actually collecting and recording those payments.

  • Complete a test order and check the ticket email.
  • Explain how spectators can ask booking or cancellation questions.

04

Prepare the entrance together

Give scanning access only to the people who need it and test the internet connection at the actual entrance. Agree how to handle an already-used ticket, an unreadable QR code and someone in the wrong queue. Assign one person to exceptions so other scanners can keep the main admission line moving steadily.

  • Charge devices and document a backup plan.
  • Use the event check-in checklist during your team briefing.
