The organiser's guide

Registration for free events

Even without an admission charge, you may need to know how many people register and how to welcome them. That applies to open days, talks and community activities. Free tickets give visitors a confirmation and QR code without a payment to complete. Remember that a registration is still not a guarantee that a person will actually attend.

01

Decide why registration is useful

Registration is particularly useful when you need to plan capacity, prepare materials or check admission. Tell visitors why they need a ticket even though entry is free. Only request information needed to organise the activity and explain where people should send any questions about their registration or confirmation email.

  • Publish the date, time, location and intended audience.
  • Explain whether registration is required or walk-in admission is also possible.

02

Create a zero-price ticket

Choose a clear ticket name and set its price to zero. Free tickets do not count towards platform fees. With no payment transaction to complete, visitors do not need to go to a payment provider. Check current pricing and event settings if you combine free and paid ticket types in the same event.

  • Set an appropriate number of available tickets.
  • Place a test order and inspect the confirmation and QR code.

03

Explain capacity and cancellation

A limited number of places calls for a clear way to cancel. Explain how visitors can contact you when their plans change. Do not assume free registration automatically means attendance. Decide how to handle no-shows and never issue more admission than the venue can safely accommodate, even when there is no money involved.

  • Keep practical information visible on the event page.
  • Only use a waitlist when you can follow up on newly available places.

04

Check entry without payment questions

At the entrance, use the same QR workflow as for paid tickets. Ask helpers to choose the correct event and test a sample ticket before opening. This separates registrations from actual arrivals. Do not grant unnecessary access to personal information: someone checking admission does not automatically need full organiser permissions for the whole organisation.

  • Check the scanner, battery and internet before opening.
  • Agree who helps walk-in visitors and monitors remaining capacity.
