The organiser's guide

Sell tickets for a school party

A school party needs a shared overview rather than separate payment requests and competing guest lists. Give buyers one ticket page with practical information and a consistent checkout. First agree with the school who may attend, what information is necessary and who takes responsibility for admission on the night of the party.

01

Make the entry rules explicit

Explain whether the party is for current students only or whether guests are welcome. An online ticket does not automatically verify school enrolment or age. If a school card or identity document is required, announce that before purchase and make sure everyone working at the entrance applies the same agreed rules.

  • Publish the date, times, location and intended audience.
  • Agree who handles booking questions on behalf of the school.

02

Keep the ticket offer easy to understand

Create different ticket types only when buyers genuinely need a choice. That might mean regular admission and an introductory price with clear conditions. Set sales quantities against the venue capacity. Check the combined quantities yourself when different types share a room; separate prices do not mean separate physical capacity at the venue.

  • Check prices and available quantities before publishing.
  • Explain what admission includes without ambiguous extra charges.

03

Share through the school's agreed channels

Put the ticket link on the agreed school page or share it through official communications. After successful online payment, the buyer receives a QR ticket. Avoid collecting unnecessary student information and agree who may access the visitor list. Discuss refunds and cancellations before sales start rather than improvising after the first request.

  • Test checkout and the ticket email on a phone.
  • Include platform fees and payment-provider charges in the event budget.

04

Brief the entrance team before opening

Test scanning and connectivity at the venue. Ask the team to select the correct event first and agree who handles exceptions. An already-used ticket needs investigation, not automatic second admission. Manual check-in should follow a deliberate check of the correct visitor and booking rather than a quick tap on a familiar name.

  • Give helpers only the scanning permissions they need.
  • Keep a responsible contact available for questions or refused admission.
