Explain early-bird and regular admission
Choose ticket names visitors understand immediately and describe what admission includes. An early bird can be cheaper while granting the same access; say so explicitly. Set quantities and sales windows carefully and check that combined sales stay within venue capacity. A change in price does not require an endless list of ticket types. Keep choices focused, check mobile checkout and let visitors see the final price before they commit to paying for the event.
- Check quantities and sales windows for each tariff.
- State whether cloakroom service or other extras are included.
Give your campaign one reliable destination
Send the links in your announcement, social profile and website to the same event page. Use your own logo and align venue, date and times with the campaign artwork. Do not sell on the poster alone: provide practical travel details, entry information and a contact. Discount or promoter codes may be part of distribution, but agree their conditions before sharing them. A code does not automatically verify age or establish an unconditional right of admission.
- Test the full journey from the actual link you will share.
- Check Dutch and English visitor journeys when you offer both.
Plan the entrance rush, not just sales
Many dance event visitors arrive within a short period. Test connectivity at the venue and assign roles before opening. Ask scanners to select the correct event and keep a separate contact available for missing tickets, duplicate scans and payment questions. The QR check verifies an admission ticket. House rules, age checks, security searches and safety require their own process with authorised staff. Give helpers individual scanning access rather than one shared administrator account for everyone.
- Decide whether re-entry is permitted and how you verify it.
- Prepare charged devices and a practical incident plan.
Check payment and review the night afterwards
Before launching sales, complete a test payment and inspect the ticket email and order status. Do not assess visitors only by a banking screen or payment return page: use the current order and issued ticket as the basis for checking. Afterwards, compare paid and refunded orders with arrivals. Attendance is not extra revenue and a reservation is not payment. Include platform fees and payment-provider charges alongside programming and venue costs when evaluating the evening.
- Test successful, abandoned and failed payments in test mode.
- Assign a contact for complaints and refund questions.
